The Dental Clinic Receptionist is a Key role in the Clinic and of great importance for our business.

What is the role of a Dental Clinic Receptionist?
Your responsibilities include participating in welcoming the Patients as they arrive, coordinating
their appointments to assigned medical teams, collect payments and informing them about the
processes in the Clinic.
You will also have to collaborate with the Sales Team, Medical Team and Outside Partners,
offering stellar customer service and meet the expectations of our Patients.
If you have previous hospitality experience and you are familiar with clinic or hotel procedures, like
bookings, schedules supervision, payment procedures, customers’ feedback collection, we’d like
to meet you.
Our ideal candidates speak German and English, have a passion for communication, with the ability to resolve issues in a timely and accurate manner.
Responsibilities:
- Provide upscale Patients service experiences throughout their stay with the Clinic;
- Monitor daily bookings and ensure all cancelations and changes in the schedule are properly
recorded in the dedicated software system;
- Coordinate logistics such as airport and hotel transfers for Patients by making sure they arrive
on time for their appointments and wait shortest possible time when their treatment procedure is
finished;
- Oversee check-out procedures including financial transactions (payment of deposits and other
due payments) as per the treatment plans;
- Promptly address Patients’ requests such as booking of medical tests, luggage storage, moving
from one hotel to another, etc.;
- Ensure Patients like disabled people, elderly, children and VIPs, receive personalized services;
- Coordinate and manage communication between Patients and staff and follow-up to ensure we
resolve Patients’ concerns if such are expressed;
- Liaise with the Sales team, the Administrative team and the Medical teams to assure the Patient
receives all the information, care and services they need;
- Collect Patients feedback regularly and at the end of each treatment phase.
Requirements:
- Proven work experience as a Guest Relations, Hotel Front Desk or similar role at least 2 years;
- Very good level of speaking German and English;
- Customer service drive with outstanding communication and active listening skills;
- Excellent problem-solving and multitasking skills;
- Ability to work flexible hours as per the schedule of the Clinic;
- Strong sense of responsibility and a professional presentation;
- Bachelor degree in Hospitality Management, Tourism, Business Administration or relevant field
is an advantage.
