Consular and administrative Officer
The Embassy of Belgium in Sofia is considering hiring a (M/F) Consular
and Administrative Officer on a one year contract which can be extended into a
long term position.
The Embassy of Belgium in Sofia is a small to medium-size structure (10
employees) located in the Lozenets area of Sofia. The Embassy promotes and
defends the Belgian interests in the region; she not only supervises the
bilateral relations between Belgium and Bulgaria but her jurisdiction also includes
Albania, Kosovo and the Republic of North Macedonia.
In her consular capacity, the Embassy issues visa to applicants from
these three countries who wish to visit Belgium for long term periods.
The selected candidate will mainly fulfill consular tasks within the
Embassy’s Visa section and, on a subsidiary basis, he/she will also be required
to perform secretary/administration tasks.
In his/her consular capacity, the candidate will mostly have to handle
the entire process for long term visa applications (student visas, family
reunion, work permit, etc.) from applicants from Albania, Kosovo and the
Republic of North Macedonia. This, i.a., implies:
- Informing (by phone or by email) the
general public on visa requirements and procedures;
- Scheduling appointments for the visa
- Receiving the candidates and
collecting the visa applications;
- Processing the applications and
controlling their regularity;
- Introducing them into the system
and, for the successful applicants, issuing the visa;
- Informing the applicants whose
applications have been denied;
- Archiving the visa application
These tasks are performed under the direct supervision of the Embassy’s
Consul. The successful candidate will benefit from a training period during
which he/she will receive the possibility to familiarize him/herself with the
job specific requirements.
In his/her secretary/administration capacity, the selected candidate
will have to, i.a.,:
- Answer on the phone and receive the
- Assist the expatriate staff on a
roaster basis and outside of normal working hours with an emergency phone for
Bulgarian speaking partners;
- Translate documents from Bulgarian into
English and/or French/Dutch for the internal necessities of the Embassy;
- Run the Consul’s agenda;
- Take care of the ingoing and
- Contact the local Authorities for
- Assist or replace during their
absence other colleagues from the Embassy.
This position offers ample opportunities for human contacts. Besides the
necessary personal qualities it requires in terms of communication, character,
self control and total integrity, the successful candidate will have to
- A proven experience of several years
in an administrative position where he/she had to deal with the public
(comparable Embassy position to the one advertised is a plus);
- Besides the knowledge of the
Bulgarian language, a good working knowledge (both spoken and written) of the
English language is required. Knowledge of French and/or Dutch is a marked
- Good computer skills.
Candidates pre-selected on basis of their CV and application letter will
be invited to the Embassy for an interview. They will be asked about their
experience, their motivation, the specific qualities needed for the advertised
position. They might be submitted to both an oral and a written test.
The Embassy offers a monthly gross starting salary of BGN 2,926. Years
of relevant experience in a similar position can be taken into account.
On top of that salary, the Embassy pays the employer’s social security
dues and other legal contributions.
