Executive assistant
We are seeking an exceptional Executive Assistant to provide high-level strategic and administrative support directly to our Chief Executive Officer.
About the RoleAs a Executive Assistant, you will serve as the CEO's trusted partner, acting as the primary point of contact and gatekeeper. This is a pivotal role that requires anticipation of needs, impeccable discretion, and the ability to thrive in a fast-paced environment. You will play a key part in ensuring the CEO's time is optimized, enabling them to focus on strategic leadership and company growth.
Key Responsibilities
- Manage the CEO's complex calendar, including scheduling meetings, appointments, and coordinating with internal/external stakeholders
- Arrange domestic and international travel, itineraries, and logistics
- Prepare and edit correspondence, reports, presentations, and confidential documents
- Serve as a liaison between the CEO, board members, senior executives, and external partners
- Coordinate board meetings, executive retreats, and special events
- Handle incoming communications (emails, calls), prioritizing and responding on behalf of the CEO when appropriate
- Oversee special projects, research, and data analysis to support decision-making
- Manage expense reports, budgets, and administrative processes
- Maintain strict confidentiality on sensitive matters
Qualifications and Skills
- 5+ years of experience as an Executive Assistant supporting C-level executives (CEO experience highly preferred)
- Proven track record in a high-pressure, fast-paced environment
- Exceptional organizational skills with keen attention to detail and multitasking abilities
- Outstanding written and verbal communication skills
- High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google Workspace, and tools like Slack, Zoom, or project management software
- Strong problem-solving skills and the ability to anticipate needs proactively
- Discretion and professionalism when handling confidential information
- Bachelor's degree preferred (in Business Administration, Communications, or related field)
- Flexibility to occasionally work outside standard hours for urgent matters or travel support
